Hot Works Event Rules and Guidelines
1. Artwork Requirements
- All artwork must be original, handcrafted by the artist, and the artist must be present at the show.
- Artists selling work they did not create or misrepresenting their work or themselves are not permitted to participate. Manufactured items are strictly prohibited. Violations will result in removal of the non-compliant items and potential booth closure without refund.
- The person staffing the booth must be the individual who created the work. If multiple people are involved in creating the artwork, their contributions must be detailed in the application.
2. Artist Presence
- Artists must be present during all open hours of the event and personally staff their booths.
- A government-issued photo ID must be available for verification at check-in.
3. Collaborative Work
- Collaborative works (created by two or more artists) must be submitted as a joint application. Only truly collaborative pieces are permitted in such cases, and all contributing artists must have a significant role in creating the artwork. Support roles like matting and framing are not considered collaboration.
4. Display Standards
- Artwork displayed must align with the images submitted during the application process.
- Booths must remain within assigned spaces, with no appendages extending beyond, including upward, except for approved awnings that do not obstruct emergency access.
5. Booth Sharing
- Booth sharing is not allowed unless all artists are represented in the submitted juried images.
6. Electricity and Generators
- Outdoor-rated generators are permitted if placed 20 feet away from tents and do not disturb others. Quiet, odor-free inverters or batteries are preferred. Generator details must be disclosed in the application for approval.
7. Prints and Reproductions
- Prints and reproductions must be clearly labeled and limited to 30% or less of the work displayed.
- Photography, digital, or giclée prints must be limited to editions of 250, signed, numbered, and printed on archival materials. Digital art must originate from the artist’s file.
8. Event Participation
- Artists must provide sufficient inventory to exhibit for the event’s entire duration. Early breakdowns or departures are not permitted and may result in disqualification from future shows unless an emergency can be substantiated.
9. Booth Assignments
- Booth spaces are assigned at the event’s discretion and are non-interchangeable. Special location requests will be considered but cannot be guaranteed. Corner spaces are subject to availability and additional cost. Assignments will be posted online at least one week prior to the show.
10. Tent and Weather Precautions
- Professional-grade tents (e.g., Light Dome or Show-Off canopies) are strongly recommended.
- Lighter, umbrella-style tents must be weighted with a minimum of 50 lbs per corner and reinforced to prevent ponding during rain. Tents should be lowered overnight to withstand potential weather conditions.
- Tents must align with neighboring booths, with no items protruding into aisles.
11. Presentation
- Artwork cannot be displayed on the ground unless pre-approved with booth images submitted during the application.
- Only the signage provided by the event is permitted to be displayed.
12. Sales Tax

13. Promotion and Marketing
- Artists are encouraged to build and utilize mailing lists in each city they participate in.

Tent Rental Policy
Artists are welcome to set up and use their own tent that meets the event requirements.
Outside tent rental companies are not permitted to deliver, install, remove, or service tents at any Hot Works art show.
This policy is in place due to:
- Agreements with the host city and venue.
- Existing agreements with authorized vendors serving Hot Works events.
- Insurance and liability requirements.
- Event logistics and safety considerations.
Hot Works offers Light Dome tent rentals (with optional ProPanels) for artists who need a rental tent. Rental tents are professionally installed prior to artist arrival and removed following the event.

16. Event Inspections
