Opportunity Summary
The Sugar Land Arts & Music Fest is a 2 1/2-day festival in Sugar Land Town Square, the heart of Sugar Land, an emerging hub for the arts. More than 100 artists participate in the event, which is a prime opportunity for them to exhibit and sell their artwork across 14 different mediums. Hosted by the Sugar Land Cultural Arts Foundation (SLCAF), a 501 c3 organization that strives to promote, connect, and empower arts and culture throughout our diverse community, the Sugar Land Arts & Music Fest is a testament to the positive impact the organization has on our community. The event also includes

- Children's activities.
- An exclusive VIP Zone reserve for Sugar Land Arts & Music Fest sponsors.

- $25 non-refundable application fee.
- Single-panel jury of 3–5 judges.
- Jury review is closed to applicants.
- Acceptance based on:
- Quality & consistency of body of work
- Professional presentation of submitted images
- Booth presentation
- 5 artwork images (representative of booth)
- 1 outdoor booth image (including weights)
- First artwork image becomes online gallery image
- Minimum 1400px longest side (1920px recommended)
- JPG/JPEG/PNG/TIFF
- Under 5MB
- sRGB color space recommended

- All work must be original and created by the applying artist.
- No buy/sell, kits, or mass-produced work.
- 75% of booth must reflect juried images.
- 75% must be original artwork (not merchandise).
- Reproductions
- Permitted if clearly labeled “REPRODUCTION” on front.
- Limited edition prints must be signed & numbered.
- Category-Specific Rules
- Jewelry: Primary components must be artist-made.
- Photography: Must be from artist’s original image.
- Fine Craft must be expressive, not solely functional.
- Content Restrictions
- Family-friendly event.
- No nudity, partial nudity, or sexually suggestive work.
- Religious artwork limited to 20% of display.
- No heavy political overtones.

- Awards are based on the artist’s overall body of work and presentation, with one standout piece that often serves as the anchor. This ensures awards recognize professional consistency, mastery, and impact, not just a single strong image.

- Booth presentation
- Depth & range
- Maximum 3 artists per booth (1 primary + 2 partners).
- Each artist must:
- Submit separate application
- Pay application fee
- Pay $50 sharing admin fee (if accepted)
- Primary artist pays booth fee.
- Communication goes to primary artist.
- All artists bound by Legal Agreement.

Each accepted artist receives:
PUBLICITY
- The “Waitlist” will be activated at the close of the registration deadline if juried artists cancel and/or fail to pay by the deadline.
- No priority given.
- Email notification sent when booth(s) becomes available.
- First paid = confirmed.
- Artists must monitor Zapplication account.
- Rain or Shine Event Notice
- This festival is a rain or shine event and will take place as scheduled regardless of weather conditions. Because there is no designated rain date, artists are responsible for preparing their booths and artwork for outdoor conditions.
- We strongly recommend that artists consider obtaining Art Festival or Event Insurance to protect against unforeseen circumstances. Coverage may include:

- Weather-related losses (rain, wind, storm damage to artwork or displays)
- Damage or loss of artwork, tents, or booth equipment
- Theft of artwork or merchandise
- Liability coverage for accidents or injuries occurring within your booth space
- Event cancellation or interruption coverage when available
- Artists are responsible for securing and properly weighting their tents and displays to ensure the safety of all participants and guests.
- By participating in the festival, artists acknowledge that they assume the risks associated with outdoor events.
- Festival cancellation only occurs if conditions become dangerous or mandated by authorities.
- Weather Announcements for Festival Cancelation
- Will be sent to each registered artist by email and text notification of intent.
- If the festival should be cancelled or needs to close early during festival hours, SLAMF will:

- Stop the music and make a general announcement over the loudspeaker,
- Send mass email and/or text blasts to all artists, and
- Will give a series of 3-short frog horn blasts as a signal it is okay to begin breaking down your artwork.

- During impending Texas weather, we recommend that you check your emails regularly for notifications from SLAMF.
DISPLAY GUIDELINES
- Professional presentation required.
- No artwork on ground (unless designed for ground).
- Limit easels to 2 maximum.
- No blocking walkways.
- All display must remain within booth footprint.
Festival aims to create an outdoor museum-quality environment.
- All artwork must be for sale.
- Prices clearly displayed.
- No “discount” signage permitted.
- Artists may negotiate privately.
- Artists must have valid Texas Sales Tax Permit, which is required on the application.
- Artists responsible for collecting/remitting tax.
Each accepted artist receives:
- Artist lanyards (per registered artist)
- Festival map
- Booth signage (required for judging)
- By applying, artists grant permission for:
- Festival photography/video
- Use of images for nonprofit promotional purposes
- Artists encouraged to share on social media.

- As booths are sold and in near-real time:

- Legacy Artists
- To show how we value returning artists, we define a “legacy artist” as an artist that has participated in two prior consecutive festivals for 2024 and 2025.
- Benefits of a “legacy artist”:
- Although you will have to complete an application, you are automatically juried into the festival.
- A legacy artist will receive “priority booth selection”, which enables the artist to have a two-week early access to select & pay before registration is open to other artists.
- However, if the artist fails to pay by the priority deadline, then the artist joins open enrollment.

- White 10’x10’ tent with straight legs required.
- No pop-up shade tents.

Safety Inspections
Safety Committee will inspect:
- Tent type
- Proper weights
- Professional display
- Electricity set up. Violation of ele
- Non-compliance = rent weights or removal without refund.
- Setup – Friday, November 6
- Assigned time slot emailed.
- Unload from designated area.
- Each artist is allotted 15 MINUTES to unload their tent, artwork & equipment.
- Unload all your items to the back or on the sidewalk behind your booth space.
- Do not put anything in your neighboring artists’ booth spaces.
- Vehicles must immediately move to artists’ parking after unloading.
- All tents up by 12:00 PM.
- Breakdown – Sunday, November 8
- Begins at 5:00 PM only.
- No early breakdown permitted.
- Booth space must be left clean.
- Festival grounds must be cleared by 7:00 PM.
Refund Policy
REFUND POLICY
- No refunds for application or booth fees.
- No refunds due to weather cancellation.
- No refunds for rule violations or removal.
- Again, artists strongly encouraged to purchase event insurance.
